Example - customer order intake

1. 01New Outlook message
2. 02Sender + subject + attachment rules
3. 03Customer PO parser
4. 04Extracted order data

## Turn incoming order emails into structured data.

Route customer purchase order attachments from Outlook into a dedicated parser. Sender rules control which messages enter the workflow.

1. 1Connect the Outlook mailbox.
2. 2Choose the senders that supply customer orders.
3. 3Process matching attachments in the order parser.

## Set the mailbox boundary first

### Account access

Connect a personal Outlook account or a Microsoft 365 mailbox. Work or school accounts may require administrator approval. One selected Outlook account is monitored per parser.

### New mail only

Monitoring starts when you save the configuration. Older messages already in the mailbox are not imported by this connection.

Use a new test message when checking setup.

## Decide what to process

Outlook import controls

Control

Available choice

Practical use

Sender access

All, listed only, or skip listed

Limit a supplier-invoice parser to approved sources

Email conditions

Subject or body text matches

Select PO emails for a customer-order parser

Attachment filename

Process or skip matching files

Exclude unrelated attachments

Email content

Attachments, body, or both

Extract only the content the workflow needs

Downloadable links

Supported public files

Receive linked documents that do not need sign-in

Attached Outlook items, inline signature images, and unsupported files are skipped. Selecting body and attachments creates separate documents with separate processing usage.

## Enable realtime mailbox monitoring

1. 01

    ### Open Import from Outlook

In the parser's Integrations page, add Outlook under Import sources.

2. 02

    ### Connect Microsoft

Sign in to the mailbox, approve access, and select the connected account. Complete administrator approval if Microsoft requests it.

3. 03

    ### Configure the rules

Choose Sender access, Email processing rules, attachment rules, and the content mode.

4. 04

    ### Save and confirm the status

Look for Realtime monitoring active beside Import from Outlook.

5. 05

    ### Send a test message

Send a new supported attachment from an allowed sender. Confirm the document and its extracted fields in DigiParser.

## Keep inbox rules and document rules aligned

### For accounts payable

Use supplier senders and invoice subjects to select AP documents. Attachments only avoids processing a message body that adds no useful invoice data.

### For sales operations

Use a separate PO parser with customer-specific rules. Choose body import when the customer writes the order in the email rather than attaching it.

If messages do not arrive and an Outlook rule moves them immediately, temporarily disable that rule and send another test. Check administrator consent, reconnection status, and sender filters before changing the parser.

DigiParser does not mark messages as read, move them, or remove them from Outlook. New imports normally arrive within moments; processing time can vary.
