Send extracted data via email when documents are processed

Exporting to Email

You can send your extracted data via email automatically. When a document is processed (or approved, if you use Reviews & Approvals), DigiParser sends an email with the exported data to the recipients you choose. You can include the data in the email body, as an attachment, or both.

Where to set it up

  1. Open your parser and go to Settings → Integrations.
  2. Under Available Integrations, click Email.
  3. It appears under Added Integrations. Expand it to configure.

How to configure

Add recipients

Enter one or more email addresses in the Recipients field, separated by commas (e.g. [email protected], [email protected]). You can optionally add CC recipients.

Choose when to send

Select When to send:

  • When processed – Send as soon as extraction completes.
  • When approved – Only send after a reviewer approves the document (if you use Reviews & Approvals).
  • On both events – Send when processed and again when approved.

Choose format and placement

  • Format – Choose JSON, CSV, XLSX, or Plain text. JSON and plain text can go in the email body; CSV and XLSX are sent as attachments.
  • How to include data – For JSON: In email body or As attachment. For CSV/XLSX: data is always attached as a file.
  • What to send – Choose what data to include: Document fields only, All fields & tables (flattened), Specific table only, or other options depending on your format.

Customize subject and body (optional)

You can edit the Subject and Body templates. Use placeholders like {{document_name}} and {{document_link}} to include document details in each email.

Save

Click Save Configuration. From then on, when a document is processed (or approved, based on your choice), an email is sent with the extracted data.

When data is sent

Data is sent when a document is processed (after extraction finishes) or when approved (if you chose that option and use Reviews & Approvals).

If you chose When approved and no reviewer is assigned, exports run immediately after processing.

Tips

  • Use When approved if you want to review documents before data is emailed.
  • XLSX or CSV as attachments works well when recipients need to open the data in Excel or Sheets.
  • JSON in the email body is useful for quick review or when connecting to other systems.
  • Add multiple recipients to keep your team in the loop.
