How to review, approve, and reject documents
Reviewing Documents
When a document is assigned to you for review (via Reviews & Approvals), you'll see it in your "Assigned to Me" filter. You can then review it, approve it, or reject it.
Finding documents assigned to you
- Open your parser and go to the Document Inbox.
- Use the status filter and select Assigned to Me.
- You'll see all documents assigned to you for review.
You can also see assigned documents in the data table by filtering by status.
Reviewing a document
- Click a document from the list or data table to open it.
- The split view opens: original file on the left, extracted data on the right.
- Check the extracted values:
- Are they correct?
- Are any missing?
- Do any look suspicious (e.g. wrong amounts, future dates)?
- Edit any incorrect values by clicking the cell and typing a new value.
Approving a document
If the extracted data is correct:
- Click Approve (or use the Approve button in the document view).
- The document status changes to Processed / Approved.
- Exports run (if configured) and data is sent to integrations.
Approved documents are treated as final and can flow to Google Sheets, Xero, webhooks, etc.
Rejecting a document
If the extracted data is wrong or incomplete:
- Click Reject (or use the Reject button in the document view).
- The document status changes to Rejected.
- Exports do not run for rejected documents.
Rejected documents stay in the system so you can fix them and re-process or approve them later.
Assigning and reassigning documents
- Assign document: Use More (⋮) → Assign document to assign a document to a team member (if you have permission).
- Reassign: If a document is already assigned, you can reassign it to someone else.
What happens after approval or rejection
- Approved: Document becomes Processed / Approved, exports run, data flows to integrations.
- Rejected: Document stays as Rejected, exports don't run, you can fix and re-process later.
Tips
- Check confidence scores: If enabled, use confidence scores to spot values that might be wrong.
- Edit before approving: Fix any mistakes before you approve so exports have correct data.
- Reject when unsure: If you're not sure about the data, reject it and ask the uploader or check the original document.
- Use filters: Filter by Assigned to Me to focus on your review queue.
