# Bulk Operations

Perform bulk operations on documents and data

Feedback

You can **select multiple documents** and then **export**, **move**, **delete**, **reprocess**, **approve**, or **download** them in one go. This saves time when you need to act on many documents at once.

## [How to select documents](#how-to-select-documents)

Feedback

1.  **Document list** (left side) - Use the **checkboxes** next to each document in the list. When you select at least one, a **Bulk Actions** menu appears at the top. You can **Reprocess**, **Approve**, and **Download as ZIP** from here in addition to Export, Move, and Delete.
2.  **Data table** (right side) - Use the **checkboxes** on the left of each row. You can select one, several, or use the header checkbox to select all on the current page.

Feedback

Only **selected** documents are affected by bulk actions. If you use **Filters** or **Search**, selection applies to the **visible** documents.

When you have at least one document selected (from the document list or data table), a **Bulk Actions** menu appears. Click it to choose:

### [Download as ZIP (document list only)](#download-as-zip-document-list-only)

*   **Download as ZIP** - Downloads the **original document files** (PDFs, images, etc.) of the selected documents as a ZIP file. Use this when you need to save or share the source documents, not the extracted data.

### [Export Selected](#export-selected)

Feedback

*   Exports **only the selected** documents (e.g. as CSV). Use this when you want to export a subset, not the whole filtered set.
*   The format is typically CSV. For more format options (XLSX, JSON) or "what to export," use **Export Data** and apply filters, or export from the document view.

### [Move to folder](#move-to-folder)

Feedback

*   **Move to folder** - Choose a folder. All selected documents are moved into that folder.
*   **No folder** - Removes selected documents from their current folder (they become **Unfoldered**).

Use this to group documents by client, project, or type without moving them one by one.

### [Delete Selected](#delete-selected)

Feedback

*   **Delete Selected** - Permanently deletes the selected documents. You'll be asked to confirm before anything is removed.

Use with care. Deleted documents and their extracted data cannot be recovered.

### [Reprocess (document list only)](#reprocess-document-list-only)

Feedback

*   **Reprocess** - Re-extracts data from the selected documents. Use this when you've changed fields or settings and want to re-run extraction on multiple documents at once. Documents that are already processing, queued, or uploading are skipped.

### [Approve (document list only)](#approve-document-list-only)

Feedback

*   **Approve** - Marks the selected documents as approved. Only documents that are processed but not yet approved or rejected can be approved. Use this to approve multiple documents in one go when using Reviews & Approvals.

## [When bulk actions are available](#when-bulk-actions-are-available)

Bulk actions apply when:

*   You have **at least one** document selected (from the document list or data table).
*   For the data table: you're viewing **All** (the main data view), not a single **Table** tab.

If you don't see **Bulk Actions**, check that you've selected documents. Reprocess, Approve, and Download as ZIP are only available when selecting from the document list.

## [Tips](#tips)

*   **Filter first** (e.g. by status or folder), then **select all** on the page to act on that filtered set.
*   Use **Move to folder** after uploading a batch so you can sort them into the right folders quickly.
*   Use **Export Selected** when you only need to export certain documents (e.g. a few approved invoices).
*   Use **Download as ZIP** when you need the original files (e.g. to archive or share with a client).
